Personal Assistant to Executive

About the role

We are seeking a highly organized and proactive Personal Assistant to provide high-level administrative support to the executive. The ideal candidate will have exceptional communication skills, a professional demeanor, and the ability to manage a wide range of responsibilities in a fast-paced environment. Proficiency in spoken and written English is essential, and knowledge of Spanish is a plus.

Key Responsibilities:

  • Manage the executive’s calendar, including scheduling meetings, appointments, and travel arrangements.
  • Handle all correspondence, including drafting and responding to emails and other communications on behalf of the executive.
  • Assist with personal and business-related tasks as needed.
  • Coordinate internal and external meetings, including preparing agendas and taking minutes.
  • Conduct research and prepare reports or presentations as required.
  • Liaise with internal teams and external stakeholders to ensure smooth communication and project execution.
  • Manage confidential and sensitive information with the utmost discretion.
  • Oversee special projects and ensure deadlines are met.

Qualifications:

  • Proven experience as a Personal Assistant, Executive Assistant, or similar role would be a huge plus.
  • Upper-intermediate and higher levels of spoken and written English is required.
  • Knowledge of Spanish is an advantage.
  • Strong organizational and time management skills, with the ability to prioritize and multitask.
  • Excellent verbal and written communication skills.
  • Ability to work independently and handle multiple tasks under tight deadlines.
  • High level of attention to detail and accuracy.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint) and other office productivity tools.
  • Strong problem-solving skills and resourcefulness.
  • Ability to maintain confidentiality and exercise discretion.
